understanding cash flow challenges in business

Why do profitable businesses sometimes run out of cash? I've always found this one interesting because "profitable" and "has enough cash" sound like they should mean the same thing. But they don't. A business can make a profit and still struggle to pay a supplier or cover payroll. The main reason is timing. For example, imagine a business makes ₹10 lakh in sales. Sounds good. But suppose ₹4 lakh of those sales were made on credit and customers won't pay for another 30 to 60 days. The business may have recorded the revenue, but that ₹4 lakh isn't available in the bank account yet. Meanwhile, suppliers, employees, rent, utilities, and other expenses still need to be paid. A few other things can create the same problem: Excess inventory Money gets spent on products that haven't been sold yet. If the stock moves slowly, a lot of cash can remain tied up in inventory. Rapid growth More sales can require more inventory, employees, equipment, and working capital before the additional revenue actually arrives. Seasonal sales A business might have excellent sales during certain months but much lower sales during others. Spending needs to be planned around those slower periods. Unexpected expenses Repairs, equipment replacement, higher supplier prices, or other unexpected costs can quickly reduce available cash. High fixed costs Rent, salaries, loan payments, and other recurring expenses continue even when sales are lower than expected. One thing I've noticed is that business owners can sometimes focus heavily on: "How much did we sell?" when another equally important question is: "How much cash do we actually have available, and what's coming in and going out over the next few weeks?" That's where basic cash flow forecasting can be useful. You don't necessarily need anything complicated. Even tracking: Current cash balance Outstanding customer payments Inventory purchases Upcoming supplier bills Payroll Rent and recurring expenses Expected sales can give a much clearer picture.
